When you register an athlete, submit an interest or contact form, or volunteer or donate, we may collect:

• Athlete information: Name, date of birth, gender, grade, school, shirt size, events of interest, and experience level.
• Contact information: Email, phone, and mailing address for the athlete and parent/guardian, plus emergency contact details.
• Medical information: Physician, insurance, allergies, medical conditions, and medications provided for athlete safety.
• Agreements: Electronic signatures and timestamps for waivers accepted during registration.
• Messages: Anything you send us through the contact or interest forms.
• Usage data: Basic, anonymous analytics about how the Site is used (see Cookies below).

2. How We Use Your Information

• To process registrations and communicate practice schedules, competition details, and club updates.
• To keep athletes safe — coaches and, in an emergency, medical providers may access medical and emergency contact information.
• To respond to your questions and follow up on volunteer, donation, and partnership interest.
• To improve our programs and this Site.

3. Sharing Your Information

We do not sell your information. We share it only as needed with:

• Coaching staff and volunteers who need it to run practices and competitions.
• Meet organizers and sanctioning bodies (for example, USATF or AAU) when entering athletes into competitions.
• Medical providers in an emergency.
• Service providers that host our Site, database, and email delivery (Supabase, Vercel, Resend), who process data on our behalf.
• E.P.I.C Labs, our partner organization that operates this Site and, if you request it, performance testing services.
• Law enforcement or regulators when required by law.

4. Photos & Media

With the media release accepted at registration, we may publish photos, videos, names, and results from practices and competitions on our Site and social media. You may revoke consent for future use by emailing info@j2nxepic.com.

5. Children's Privacy

Most of our athletes are under 18. We collect information about minors only from a parent or legal guardian during registration, and we use it solely to operate our Programs. Parents and guardians may review, update, or request deletion of their child's information at any time by contacting us.

6. Data Security & Retention

Data is stored with reputable cloud providers using encryption in transit and at rest, and access is limited to club administrators and coaches. We retain registration records for the duration of an athlete's participation plus a reasonable period afterward for safety, insurance, and legal purposes, then delete or anonymize them.

7. Cookies

The Site uses only essential cookies (for example, to keep an administrator signed in) and a cookie to remember your consent choice. We do not use advertising cookies.

8. Your Rights

You may request a copy of the information we hold about you or your athlete, ask us to correct it, or ask us to delete it. California residents have additional rights under the CCPA. To exercise any right, email info@j2nxepic.com.

9. Changes to This Policy

We may update this Policy from time to time. The date at the top reflects the most recent revision.
